Book a space for a community event or program

Community Spaces in Toronto Seniors Housing Corporation (TSHC) buildings, like recreation rooms, libraries, and craft rooms, can be booked for tenant use. Tenants can book these rooms for private events or community events.

What’s the difference between one-time use and recurring use?

One-time use of space:

Use of a community space at TSHC by a tenant or a community agency for an event that only happens once. For example, a community BBQ that is held once during the summer or a tax clinic during tax season.

Recurring use of space:

When a community space at TSHC is used by tenants or a community agency on a recurring basis. For example, a music club hosted in your building’s community space every Thursday evening would count as a recurring use of space.

Recurring or One-Time Use: Application Form

This form is for applicants interested in using TSHC’s community spaces (for example a library, recreation room, or craft room). This form can be used for both one-time and recurring use of community space bookings. One-time use of space is the use of a community space for a defined, non-recurring time period for a community event. For example, a community BBQ. Recurring use of space is for an ongoing event or program. For example, a weekly movie night.

Note: You do not need to complete this application form for events or activities funded by CAF. Spaces will be automatically booked once a CAF application has been approved.

Commonly asked questions about community space bookings at Toronto Seniors Housing Corporation (TSHC) and available community spaces.

What is a community space?

Community space is shared space by tenants, guests, and community agencies. Examples would be a community or recreation room, library, or craft room. These spaces could be shared at various times of the day or week, sometimes on a recurring basis, to provide programs, services, and activities that benefit tenants. For example, a community agency that provides a weekly Exercise and Falls Prevention class on a recurring basis in the recreation room at a building. These spaces are not intended for commercial, business, retail, or industrial use.

Which community spaces are available for tenant use?

Tenants can speak to their building staff about available spaces for tenant use.

How can tenants use community spaces at TSHC?

  • Some community spaces (like recreational spaces, craft rooms, or libraries) can be used casually by tenants if the space hasn’t been booked by another tenant for a private event. If you plan on hosting an event or program in a TSHC community space, you need to formally apply to use the space in advance.
  • You can ask your building staff about community spaces in your building.

What is the difference between the various types of use of space bookings?

  • Private event: A private booking is when you want to use a TSHC community space for an event where you have full control over who attends. This means other tenants may not drop in. For example, birthday parties or anniversary celebrations.
  • One-time use: A community event, open to other tenants or members of the community, on a single occasion. This can include a community BBQ or a festive event.
  • Recurring use: A community program that runs on a continual basis, open to other tenants. For example, a support group that meets weekly or a tenant-led social activity.
  • The Use of Community Space program only covers event and program use. If you’re interested in leasing a non-tenant/commercial space for commercial/business use, please get in touch with the TCHC Commercial Business Unit.

Does it cost anything to book a space?

  • There is no fee for tenants to book a space for a community event or program.
  • There is a fee to book a space for a private event. Only tenants of the building can book community spaces for private use.

Where do I apply?

  • You do not need to apply for events or activities funded by CAF. Community spaces will be automatically booked once a CAF application has been approved
  • You do need to apply for one-time or recurring use for community events and programs. Please use the application form on this page to apply for one-time or recurring use of a community space. You can also get in touch with your building staff or CSC. You can ask questions about the types of spaces available, the application process, and the programs already running in your building and region.

What do I need to include with my application?

  • For one-time or recurring community events or programs, please fill out all the areas in the application, as incomplete applications can cause delays. You can submit the form directly online, or you can get a paper copy from your SSC.
  • Private events require separate insurance along with a Tenant Insurance Form, a fee, as well as an application form. Please connect with your SSC or CSC or email UseOfSpace@TorontoSeniorsHousing.ca

How long does it take for my application to be approved?

  • One-time use can be approved in five business days if the application is complete. Recurring use for tenants can take up to two business days if the application is complete.
  • Incomplete applications can cause delays in your application being approved. Make sure you fill out all the areas in the application and that the Tenant Insurance Form (if applicable) before you submit your application. If you are not sure how to fill the forms out or what information to include, you can ask your Seniors Services Coordinator (SSC) or your Community Services Coordinator (CSC).
  • Note: Applications are approved on a first come, first served basis.

Can I cook in a community space?

  • Cooking that involves combustible materials (for example vegetable oils or animal fats), or any cooking that creates grease or smoke is not allowed.
  • In Licensed Areas (kitchens within a community space), you can:
    • boil water
    • re-heat pre-made meals or soups
    • heat beverages
    • melt chocolate
  • Any other types of cooking in Licensed Areas are not allowed.

One-Time Private Event

To book a community space for a private event (like a birthday party), please contact your Community Services Coordinator (CSC), your Seniors Services Coordinator (SSC), or email UseOfSpace@TorontoSeniorsHousing.ca to request the appropriate forms.
